 City of Riviera Beach – Media & Event Request Guidelines   To ensure consistency, efficiency, and alignment with the City’s brand, all departments must adhere to the following guidelines when submitting event or initiative requests for promotion and dissemination.   General Communication Guidelines  All content must align with the city's mission, values, and branding standards.  All event and initiative requests must be city-sponsored to qualify for promotion through official city channels.  Content should be professional, accurate, and free of grammatical or factual errors.  Departments should ensure content is relevant, engaging, and appropriate for public viewing.  Requests must be submitted at least 30 days in advance of the requested service date to allow for proper planning and execution.  Any materials containing inappropriate images, language, or messaging will not be approved for dissemination.  All copy and visuals must reflect the city’s professional standards and community values.  Before submitting an event for promotion, departments must first ensure that the event has been sent to Mrs. McCray for inclusion on the Master Event Calendar and that the date has been approved by administration.  Approval and Review Process  Departments must submit a Communication Request Form for any social media requests. The form ensures proper documentation, review, and scheduling of content.  The Communications Team will review and approve content within 48 hours of submission.   Do not bypass the approval process by reaching out to individual Communications Team members directly.  Urgent posts must be clearly labeled in the request form with justification for expedited review.     Communication Platform Selection  The Communications Team reserves the right to determine the most appropriate communication channel for sharing event and initiative information. This may include social media, email, press releases, website updates, or other channels as deemed suitable. Communication Channels include the following:

City Website (News Blog)   Purpose: Serves as the official hub for city updates, providing in-depth information on various topics.  Content:   Press releases & official statements  City initiatives & projects  Community advisories & public notices  Event announcements & recaps  Emergency updates  Social Media (Facebook, Instagram, Twitter, Nextdoor)  Purpose: Engages the community in real time and provides updates in an easily accessible                    format.   Content:  Event promotions & recaps  Community initiatives & programs  Public safety alerts & advisories  City achievements & recognitions  Live updates & real-time communication  Engagement-driven posts (polls, Q&As, etc.)     YouTube/Channel 18 (City TV Station)  Purpose: Provides televised updates and informational programming to keep residents informed.  Content:   Live broadcasts of city meetings & public hearings  Live broadcasts of press conferences  Public service announcements (PSAs)  Video stories highlighting city programs, services and initiatives  Emergency updates & advisories  Special events coverage    City Marquee   Content:  Event announcements & reminders  Public notices & advisories  Community alerts  Important deadlines (e.g., job applications, registrations)     Email (Internal Communications for City Staff) 

Purpose: Provides important updates and internal messaging for city employees.  Content:  Internal announcements & HR updates  Employee events & initiatives  Policy changes & procedural updates  Emergency notifications for staff    City Magazine   Purpose: A printed and digital publication providing in-depth coverage of city events, programs, and initiatives.  Content:  Feature stories on city projects & initiatives  Community highlights & resident spotlights  Upcoming events & recaps  Messages from city leadership  Public works & infrastructure updates   Compliance and Enforcement   Failure to meet these guidelines may result in delays or rejection of the request.
